Booking terms
Payment & Cancellation Policy
Clear, fair terms in line with UK industry standards.
- 25% deposit required at time of booking to secure your vehicle.
- Balance due 30 days before travel. For bookings within 30 days, full payment required immediately.
- If the balance is not received by the due date, the 25% deposit is forfeited and the booking is cancelled. The outstanding balance remains legally due. Interest of 2% per calendar month may be charged on overdue amounts.
- Card, bank transfer and PayPal accepted.
- Coach hire is VAT exempt — no VAT on any quoted price.
- Each booking is manually reviewed and confirmed by our team within 24 hours of receiving your deposit. A confirmation email is sent on approval.
- More than 14 days before travel — full refund.
- 8–13 days before — deposit (25%) retained.
- 4–7 days before — 50% of total hire price retained.
- 2–3 days before — 75% retained.
- Within 48 hours — 100% retained.
- All cancellations must be received by email to info@bookheathrowcoaches.com. WhatsApp messages do not constitute written notice of cancellation.
- Quotes valid for 28 days from issue.
- All prices fully inclusive — driver, fuel, airport parking, meet & greet. No hidden charges.
- Flight tracking included — no extra charge for delays.
- We act as a booking agent; vehicles operated by licensed PSV operators.
- Quoted prices are fixed at time of confirmation. However, in exceptional circumstances beyond our control (significant fuel price increases, government-imposed fuel levies, acts of war or force majeure events), we reserve the right to pass on documented additional costs. You will be notified immediately and given the right to cancel without penalty.
- All drivers comply with UK drivers' hours regulations (EU/AETR rules). Where a journey requires two drivers due to distance, waiting time or duration, an additional driver fee will be added to the confirmed quote. We will never operate outside legal driving limits. Passenger safety will never be compromised.
- Cancellations must be submitted by email to info@bookheathrowcoaches.com only. WhatsApp messages do not constitute written cancellation notice.

All vehicles available 7 days a week. Photos are for illustration purposes only — the actual make and model may differ on the day, but they are a true reflection of the fleet used by our operator partners. Branded vehicle photos available on request.
Our minibus fleet can be configured for passengers with special needs and for school or children's groups. No surcharge for accessible or special needs vehicles — we believe accessible transport should be priced equally. Select the relevant option when booking and we will confirm vehicle suitability in advance.

Prices shown are for Heathrow airport pickup to London. West London destinations are lower than Central London due to shorter distance and less traffic. The £80 Heathrow terminal surcharge is included in all prices shown. All-inclusive: driver, fuel, parking, meet and greet. No VAT. East London destinations may be £20–£40 higher. All-inclusive: driver, fuel, terminal parking, meet & greet. No VAT. Prices for East London (E1, E2, Canary Wharf, Greenwich etc.) add approximately £25–£45 depending on route. Confirmed price within 24 hours of enquiry.

Book Heathrow Coaches is a specialist group transport booking service dedicated to routes originating from London Heathrow Airport. We connect visitors, tour groups, corporate clients and families with the right vehicle — from 16-seat minibuses to 98-seat high-capacity double deckers.
Our fleet partnership
We work with a carefully selected network of fully licensed coach and minibus operators, all based within 5 miles of Heathrow in Colnbrook, Iver and Southall. Our partner operators collectively bring over 50 years of professional passenger transport experience in the London and South East region.
Our fleet includes the Volvo B8L with 98-seat MCV EvoSeti bodywork — one of the most modern high-capacity coaches operating near Heathrow — as well as standard Volvo B8R coaches, Yutong TC9 midi coaches, and Mercedes Sprinter 516 CDI minibuses. All vehicles are Euro VI compliant, fitted with CCTV, air conditioning, seatbelts and satellite tracking.
Special needs and children's travel
Our minibus fleet can be configured for passengers with special needs, wheelchair users, school groups and children. All drivers are DBS-checked and trained in assisted boarding. Child seats are available on request. Please specify your requirements at the time of booking and we will confirm vehicle suitability in advance.
